Introducing the Knowledge Base Assistant: Ask Your Automated Work-Update Knowledge Base

Company Work Info at Your Fingertips

Modern teams do their best work in motion. Conversations, quick decisions, and status details often live inside chat threads and periodic updates. Finding what changed, who owns it, and what to do next can take longer than acting on the work itself. Today we are introducing the Knowledge Base Assistant, a searchable company knowledge base that builds itself from your team’s work updates and conversations. Ask by project, customer, department, role, or timeframe, and receive concise, source-linked answers you can verify.

What is Knowledge Base Assistant?

The Knowledge Base Assistant converts everyday communication and periodic work updates into a live, permission-aware knowledge base. It recognizes your projects, customers, departments, and roles. You ask natural-language questions and receive concise answers that cite the exact work update entries used. Every answer reflects the work and communication that actually happened, not manual reporting.

At its core, this is an automated work-update knowledge base. It stays current without manual uploads or copy-paste, and it respects the role and department visibility rules that your organization has already defined.

How the Knowledge Base Builds Itself

Voice to Text Work Updates

Administrators set work update prompts and cadence by role. Team members receive secure, magic links to a simple voice interface. They speak naturally, and the system transcribes, filters non-work content, and rewrites entries into structured updates with headline, project or customer, owner, importance, and timestamps. Multilingual input is supported and entries are refined into professional English summaries before indexing.

Integrated Channels and API

Work updates flow in automatically from integrated data sources such as Slack as well as from our Messages API for custom sources. All inbound updates are processed to extract only work-relevant information so noise stays out of results.

Real-time Indexing and Explainable Answers

Work update content is indexed using vector similarity, which makes their context discoverable from a wide range of queries and applicable angles. Retrieval Augmented Generation (RAG) assembles answers only from permitted sources and includes linked citations to the exact entries used.

Permission-aware by Design

Role and department visibility applies at retrieval and at answer time. The Knowledge Base Assistant only uses work updates that the user is allowed to see based on their Team Role.

Ask About Work-in-Progress and Work History

Skip the hunt through long threads or chasing various team members to get specific answers. Ask the knowledge base assistant in plain English, then refine by scope if you need to. The assistant recognizes customers, projects, departments, roles, and timeframes.

How you search

  • Natural-language questions, no special syntax
  • Scopes and automatic filtering for project, customer, department, role or owner, and specific or relative timeframes such as last 7 or 14 or 30 days, this month, or this quarter
  • Work activity intents such as decisions, blockers, risks, next steps, and ownership changes

Examples

  • What changed for ACME this week
  • Top blockers in Engineering last 14 days
  • Who owns the pricing pilot and next steps
  • Decisions Sales made this quarter

Each response includes references to the work update entry sources, including author, source, and date, so you can verify and drill into details.

Security and Privacy for Business Intelligence

BeSync’d emphasizes privacy and security in its use of secure AI for business intelligence.

  • AWS Bedrock foundation: Dedicated, isolated infrastructure per customer with encryption in transit and at rest. Customer data remains segregated and is never used for model training. By default, Bedrock does not log prompts or outputs, and proprietary data is processed in an isolated environment with no logging.
  • Permission-aware access: Role and department visibility rules are enforced on retrieval and on answer. The Knowledge Base Assistant only uses the work updates that a given user has role-based access to.

These safeguards allow your teams to capture spoken updates, generate automated reports, and use the knowledge base assistant with confidence.

Getting Started

Connect integrations such as Slack, connect your custom data sources using our Messages API and utilize our Voice to Text Work Update platform. Then ask your first question by project, customer, or team. You will get concise, verifiable answers that reflect the work and communication that actually happened.

Tip for rollout

Start with one department and one or two high-impact questions such as weekly changes and top blockers. Pin those questions to your routines, then expand to accounts and cross-functional projects.

What Makes Our Knowledge Base Assistant So Effective
